Understand the idea of content management helps to know exactly what happens to content as it is created and the final result of using it. But exactly what controls content? How is content management developed? How is it used? How is it implemented? Obviously, to use it there has to be a system in place that will work with the content. This is known in businesses as a content management system. A content management system is designed to be automated so as to help the organization better handle the content they create. This way the organization can deal with more important issues. Here are some features that a content management system provides:  
 
·        Identification: A content management system will recognize all who use it and what that person’s role is within the organization.
·        Roles and responsibilities: A good content management system will know exactly what each person should or should not have and assign roles and responsibilities to the person or people who use the system. This way only the category or content that the user requires will be accessed.
·        Alerts: The system should be set up to know what the workflow tasks are involved in content management, this way if someone goes out of bounds with the content or tries to access areas they should not, or tries to change certain documents, the manager or administrator of the content would be notified.
·        Track and manage versions: A good system will know what version is currently being used and what versions are archived so it keeps track of what is current. This way the user will have access to the most current document.
·        Publish the content: A good content management system will take the approved and completed documents and publish them to either a repository or whatever the company used to keep and store digital content for use later.
