Begin by using company letterhead to produce your press release. This will give reporters and editors a quick way of recognizing who is the subject of this news.
Label the document with
“PRESS RELEASE” or
“NEWS RELEASE” in all capitalized letters. Beneath that, print “FOR IMMEDIATE RELEASE,” also in all capitalized letters.
Then list the contact people for the press release. Include their name, title, phone number(s) and e-mail address.
The next element of the press release is the headline, which should convey the essence of your press release while also grabbing the reporter or editor’s attention.
Beneath the headline, begin the body of your press release with the date and the city and state where the press release is originating.
Keep your press release to one or two pages. If it extends to a second page, include some identifying information on the header of the second page (headline, company name, page number) just in case the second page gets separated from the first. At the bottom of the first page, center the word “MORE” in all capitalized letters, and at the conclusion of the entire press release type “#######” or “-30-” to indicate the end of the text.
The last paragraph of your press release should be a description of your business. Include a synopsis of what you do, where you are located, how large you are, and how long you have been in business.
Finally, check and re-check to be sure your press release does not include any typos, misspellings or inaccurate information.
Distribute your press release via mail, fax or e-mail. Press releases also may be sent via a newswire service such as PR Newswire or Business Wire, although there is a cost involved with these services.
